Terms and conditions – Student Portal
The Student Portal is part of the USI Registry System maintained by the Student Identifiers Registrar for the Australian Government. We refer to Student Identifiers Registrar as 'we' or 'us' in these terms of use.
When you apply for a USI you will receive written notification of the USI assigned to you.
Agreeing to these terms and conditions of use and access
Please read these terms of use carefully. When you select 'I agree to the Terms and Conditions' in the Student Portal, you agree to be bound by them.
Privacy and your personal information
The privacy and security of your personal information is important to us. It’s protected by law. For more information about how we collect, hold, use and disclose personal information, see our Privacy Policy.
Identity verification
Identity for a USI will be verified through:
- the Document Verification Service (DVS)
- a Digital Identity.
You confirm you are authorised to provide the personal details presented and consent to the information being checked with the document issuer or official record holder via third party systems for the purpose of confirming your identity.

International Students
For international students, we may access the Visa Entitlement Verification Online (VEVO) service, administered by the Department of Home Affairs. This will enable us to:
- confirm your visa status
- determine whether you are currently in Australia.
If you are not entitled to be in Australia, the Australian Government may use VEVO check information to locate you.
Applying for a USI on behalf of another person
You can apply for a USI on behalf of another person if you have their authorisation.
If you are not the parent or guardian of the person, you must be able to provide evidence to confirm:
- you have their permission to apply on their behalf
- they understand and consent to these terms and conditions.
You must not:
- activate the USI account of another person
- ask another person to disclose to you their USI account password and security questions
- keep the personal information you collected from the other person for the purpose of applying for a USI on their behalf, unless by law you must retain it.
The person whose behalf you have applied for a USI will be:
- advised that you applied for a USI on their behalf
- provided with a link to activate their USI account.
Personal information collected for a representative acting on behalf of another person
When you apply for a USI on behalf of another person you are asked to provide the following personal information:
- your full name
- your email address or your mobile or landline phone number
- your organisation name (where applicable)
- your relationship to the person on whose behalf you are applying.
Without this information, a USI will not be assigned to the person you are applying on behalf of. This information is used for us to contact you in relation to the application if required.
Your responsibilities
As a USI account holder, you are required to:
- keep your personal and contact details up to date
- secure your account with multi-factor authentication (MFA)
- keep your USI account password safe and do not share these details with anyone else.
- computer
- device
- systems
- software.

Our rights, responsibilities and liability
We will make every effort to ensure that:
- the information you give us will be safe and stored securely
- data is backed up and can be recovered in case of a disaster
- all access to the system is logged
- if any unauthorised behaviour occurs, the logged data will assist us in identifying and resolving the issue.
We are not liable for any loss, damage, cost or expense arising from:
- damage caused by any virus, malware or other similar malicious code, to your computer, device, system or software
- a problem or loss of information you provide to or transmit through the USI Registry System
- a connection to a system or website outside our control compromises the objectives of the USI Registry System, where we may sever links without prior notice.
False or misleading information
Giving false or misleading information in relation to your USI account is a serious offence under Division 137 of the Criminal Code Act 1995.
Report suspicious or unauthorised
Please contact us to report any suspicious or unauthorised activity relating to your USI or the USI Registry System.
