Find a USI

This video is a tutorial for training providers demonstrating how to find a USI.

Welcome to the Unique Student Identifier video on how a training provider can find a USI.

Now to begin.

From the USI website Home page, select 'Training Provider Login'. This will take you to the Terms and Conditions’ page. You must agree to the Terms and Conditions in order to proceed. Select 'Next' to continue.

The Login screen is presented next. This identifies what you can do within the system and it also includes Help notes on the right hand side of the screen, and throughout the system giving you information about what you are doing. Select 'Login' to proceed.

The authentication service is presented next. This checks your credentials and validates that you are authorised to enter the system. Enter your Password. Select 'Continue' to proceed.

This authentication service will take a moment or two to validate your identity.

The next screen presented will be shown for large providers who have multiple RTOs under the one ABN. You may not see this screen at all. If you do, select the training organisation that you're representing and select 'Next' to proceed.

The USI system Options’ page is presented next. On this page you can Create a USI, Verify a USI, Find a USI if the student has already given you permission to do so within their system and View Reports published by the Office of the USI Registrar. Today we will Find a USI.

The next screen presented requires you to enter USI and personal particulars or any combination of all these details in order to find the USI record.

Please note the student must have given your organisation permission within their account in the USI Registry system for you to be able to find their record. If they have not given you permission you will not get a record returned and you will see a message indicating "No Record Found".

Today I will enter certain particulars. Generally you will know the First Name of the person, their Family Name. Date of Birth is a useful item to enter as it helps distinguish two people with the same First and Family Name.

Once I've entered the certain particulars that I am aware of select 'Search'.

A USI Record has been found that matches the credentials and the student has given the organisation permission to find their record. Had the student not given permission, you would have seen a message that said "No records found that match the search criteria".

On this screen you can see the student's USI Number, their personal particulars and their contact details.

If the student had given you permission to update their details you would also see a button indicating that you can do that.
