For training organisations, VET Related Bodies or VET Administration bodies there are a range of functions available to help you manage students USIs.
The functions are:
- create a USI on behalf of a student
- collect a USI
- verify a USI
- find a USI
- existing USI Search
- report a USI
- self service reports
You may also want further information on the following issues and processes:
- preferred name
- print USI functionality
- duplicate USIs
- student details and their ID
- Document Verification Service (DVS)
- international, overseas and offshore students
- Self Service Authorisation (SSA)
- training records and transcripts
- Document Verification Service (DVS) override
If the student changes their name in the USI portal, do we as the RTO receive this as an automatic update via our Student Management System?
No, the USI Registry System does not push information into Student Management Systems. If you have already collected and verified the USI, your reporting will assign training outcomes to the correct USI.
Is there a way for students to click a button to send a notification to RTOs of any changes that they make? I can't see all students notifying of changes.
Students can log into the Student Portal and email their USI verification details to any email address they wish. Prompting students to do this is a good way to ensure details entered in an enrolment form match the relevant USI details.
Can the USI system store a second (parent/guardian) mobile number and send a notification to this contact for students under 18?
There is currently no option to add a second mobile number for a parent/guardian. However, if a parent is unsure whether a USI has been created for their child, and the child cannot recall it either, use the ‘Find my USI’ function via the USI website. Students can also send USI verification details to any email address, including one for their parents, through their USI account.
What happens when a student has a USI and they are now divorced/separated and want to use maiden name instead of name originally created for USI?
What is the ruling in regard to 'sharing' USI information where we outsource First Aid training? Is it correct if we get permission from the student we can transfer the USI data to the co-provider?
You will need to seek permission from your student to relay their USI to the co-provider. You should also inform your students of the co-provider who is delivering the first aid training so they are aware who they are. Alternatively, you could also encourage your students to provide both your RTO and a co-provider RTO with permission (within their USI account) to view and/or update their details.
