There are two ways for accessing the USI Registry System:
- via the Organisation Portal
- using a system-to-system web service connection
Access the USI Registry System through the Organisation Portal
Training organisation staff can access the USI Registry System directly using the Organisation Portal by logging into the USI Registry System. Staff can then process one-on-one transactions and create, collect, verify or view USIs.
Access the USI Registry System using system-to-system web services connection
Training organisation staff can access the USI Registry System from their own Student Management System (SMS) using web services. This method allows a more seamless integration with other business processes and for easier management of large student numbers.
If your organisations have a single ABN and multiple OrgCodes, an access form needs to be submitted for each training organisation, as defined by OrgCode when requesting access to web services and accepting the terms and conditions of use.
Your student management system developer will need to implement this connection process using the specifications available by the Student Identifiers Registrar on the System Developers Page.
Nominate a USI Contact
Organisations should nominate a USI contact person to ensure important updates about the USI are received and action by your organisation.
Note: the contact person will be unique and needs to be identified even if you have nominated a contact for your training.gov.au account.
Access control for the USI Registry System
Automatic access to the USI Registry System is controlled by three factors – your RTO number on TGA , your ABN and your organisation’s AUSkey. It is important that:
- your organisation’s details are accurate on training.gov.au,
- your ABN is current
- your organisation has an AUSkey
To request access to the USI Registry System please complete the System Access Request form.
Note: the expected length of time to process your form is 10 working days.
When you talk of cloud solution does this include the SMS? As an organisation the SMS is the only cloud based software we use.
Yes, it does if you are using a cloud-based SMS and have been required to share your AUSkey with your SMS provider to enable you to use that software. Soon to be available is the Cloud Software Authentication and Authorisation (CAA) solution if you are using cloud-based software. The CAA solution allows Registered Training Organisations (RTOs) to notify Government of their cloud-based software provider, to enable the RTO to securely transact with the USI Registry System without the need for their own AUSkey.
