USI Transcript Service Trials – Update
A special thank you to RTOs and students who participated in the USI Transcript Service Closed Trial, which concluded on the 8 December 2016.
The trial went well with over 100 students participating and viewing their transcripts for the first time. Most students found the process of accessing the Transcript Service straightforward and provided valuable feedback and suggestions.
The Open Trial phase has now commenced and students who have completed a nationally recognised training qualification (Certificate, Diploma or Advanced Diploma) in 2015 are participating in the trial and providing feedback.
The USI Transcript Service will be closed temporarily upon conclusion of the Open Trial at 12 noon on 22 December 2016. Updates on outcomes and findings from the Open Trial phase will be communicated in an upcoming Bulletin next year.

USI Transcript Update Tool – Registration and Resources
RTOs will need to be registered for the National Centre for Vocational Education Research (NCVER) AVETMISS Validation Software (AVS) to use the USI Transcript Update Tool. The USI Transcript Update Tool will enable RTOs to modify training information on the USI Transcript, and to add any records which had previously been submitted to the national VET collection without a USI.
Even if RTOs may not have any pending updates for their students currently, they are encouraged to register with NCVER if necessary and familiarise themselves with this Tool. For more information refer to the following links:
Getting it right – 2016 reporting – 2017 enrolments
It is important to ensure that you have submitted accurate data to NCVER. The data you submit will be used to generate online transcripts for your students. Students will begin to access these transcripts in 2017.
Any errors found in the transcript will need to be corrected by the responsible RTO in their Student Management System as well as in the National VET Data Collection, so submitting accurate data the first time will save time and effort for you and your students.
Tips for 2017 enrolments
1. More students will already have a USI in 2017. Remember to check before creating a new USI.
2. Collect and verify or create a USI as close to enrolment as possible. Most USI reporting issues arise from delaying or deferring collection.
3. Follow up any USI problems quickly with your students before you lose contact with them.

Device AUSkey Certificate Renewal
Is your Organisation’s device AUSkey due for renewal?
Student Management Systems (SMS) use a Device AUSkey to authenticate the connection with the USI Registry System. Our records show that a significant number of RTOs created their Device AUSkey in the first quarter of 2015 (just after the USI Registry System went live).
It is important to note that a device AUSkey has an expiry date of 2 years after creation. If you are unsure or need more information, please talk to your organisation’s AUSkey administrator or go to https://www.usi.gov.au/training-organisations/device-auskey-certificate-renewal
Christmas and New Year Operating Hours
Please be advised that the USI Office will be closed from 12.30 pm on Friday 23 December 2016 for the holiday break and will resume normal operating hours on Tuesday 3 January 2017.
Students and RTOs can continue to access the USI Registry System and all self-service options throughout the Christmas period.
